V
VXT
VXT turns lawyers' calls and meetings into file notes, transcripts, time entries and draft follow up emails. VXT Phone combines those functions with business calling, messaging, queues and routing. VXT Meet captures microphone and system audio from virtual or in person meetings without joining as a meeting bot. Notes and conversation time can be attached to the relevant matter in connected legal software.
Administrators control whether calls may be recorded or transcribed and can tailor the summary prompt. A lawyer can open the original audio beside the transcript, adjust a time entry and review an email before sending it. Meet recordings require a manual stop, and transcripts become available after the meeting is saved. Its current support instructions also say speaker names cannot be edited.
Founded in 2018 and based in Christchurch, VXT serves law firms across several markets, including criminal defense, family law and personal injury practices. Phone and Meet are separate subscriptions charged per user. The service names external AI providers and retains account records while the account remains active. Product assurances against training differ from permissions in the incorporated privacy policy, which expressly allows training AI features on personal information.
Alternatives to VXT
Vendors in the same categories as VXT whose graded profiles look most alike, with a line on what each product does.
Similar is not the same, so check that each one does the job you need. No vendor pays for placement.

Capability grades
All 15 axes, graded from public sources on the date shown. Hover a grade to see what the letter means on that axis.
AI Centrality
How much of the product is actually AI. Whether the machine learning is the mechanism the buyer is paying for or a feature layered onto conventional software, and whether the vendor is specific about which is which.
Automatic transcription and summarization turn conversations into reusable legal file notes. Meet captures audio from virtual or in person discussions, while Phone applies the same analytical workflow to calls. A large language model receives the transcript with a configurable summary prompt. Draft emails and time entries then reduce the administrative work that follows a conversation. Calling, messaging, queues, contact management and team communication remain useful conventional functions within VXT.
The model layer is central to the notetaking proposition, but the wider communications service would still provide routing and conversation records if generated summaries and drafts were removed.
Citation Accuracy and Hallucination Disclosure
Whether the vendor publishes measured accuracy on citations and assertions, grounds output to primary sources, and says plainly what its system does when it does not know. Legal has a documented public record of fabricated citations reaching filed briefs, so an untested claim of accuracy is not evidence.
The conversation view separates the generated summary from a transcript tab containing the full transcription and playable call audio. A reviewer can return to what participants actually said when a note is unclear or disputed. Summarization uses the call transcript and an administrator controlled prompt, giving the output a defined source. This is grounding in a recorded client conversation rather than retrieval of primary law.
No measured transcription benchmark, supported error distribution or explicit response to an unsupported assertion accompanies the workflow. Speaker names in Meet transcripts cannot currently be edited, limiting one route for correcting attribution.
Autonomy and Oversight Model
What the system decides on its own, what a lawyer must approve, and whether the vendor documents where the review point sits. A tool that drafts under review and a tool that files without one are different products and different risks.
Administrators can allow, require or disable call recording and choose whether transcription is manual, automatic or unavailable to the team. Voicemail transcription remains an exception to those controls. Meet lets a participant start, pause, resume and stop audio capture, and recordings do not end automatically when the meeting finishes. Generated follow up emails remain drafts for the user to review and send. Lawyers can adjust duration, rate and description before saving a time entry.
These controls provide practical review surfaces, without a stated model confidence threshold, mandatory approval before every note is filed or a recovery process for an erroneous integration write.
Operational and Outcome Evidence
Named, dated evidence that the product works in production at real firms or legal departments. Case studies with figures and identified customers count. Unattributed testimonials and launch announcements do not.
Texas Criminal Defense Group describes roughly 1,700 inbound calls a week and at least five minutes saved per call after replacing handwritten notes and scanning with VXT and MyCase. Its operations director reports that support staff productivity doubled. The case study converts that call volume and estimated saving into more than 140 hours a week, explaining the arithmetic behind the claim. Collective Family Law Group and Johnstone and Reimer Lawyers also describe automatic time capture.
The individual outcome account does not identify a measurement period, baseline sample or independent validation, so it remains a customer estimate rather than a dated controlled evaluation.
Privilege and Confidentiality Posture
How client confidences are handled: attorney client privilege and work product treatment, segregation of one client matter from another, whether client data trains any model, and what the vendor commits to in writing rather than in marketing.
Customer content receives contractual safeguards against unauthorized access, and access to confidential information is limited to people and service providers subject to confidentiality obligations. Product FAQs prohibit third party model training, while a personal injury product page makes a broader promise concerning personal client data. The incorporated privacy policy nevertheless expressly permits training AI features using personal information and also aggregated data.
That inconsistency leaves the scope of the training restriction unresolved. Role permissions, encryption and recording controls support operational confidentiality, but no specific treatment of attorney client privilege or work product resolves the difference between product assurances and the agreement.
UPL and Professional Responsibility Posture
Whether the vendor is clear that it supplies a tool rather than legal advice, who its audience is, and how it addresses unauthorized practice of law, competence and supervision duties, and jurisdiction limits. ABA Formal Opinion 512 is the reference point. Where the advice line is not the duty a product raises, the axis is read through the nearest professional duty it does raise: judicial conduct rules and the reviewing duty for products sold only to courts, and the duty to bill for time actually spent for products that draft time entries.
The recording guidance states that VXT does not provide legal advice and directs responsibility for jurisdictional recording requirements to the professional using it. Firms can add a spoken disclosure before a call reaches staff or enable automatic recording announcements. Suggested consent language, email notices and client agreement disclosures support that process. Meet similarly recommends permission before recording or transcription.
The intended legal user is clear, and the product leaves review of notes and outgoing drafts with the firm. There is no jurisdiction by jurisdiction consent matrix or broader treatment of a lawyer's competence duties when relying on generated content.
AI Governance and Bias Disclosure
Published governance over model behavior: who owns it inside the vendor, what is tested before release, and what is disclosed about disparate output across matter types, parties, or populations.
Customer administrators can configure recording rules, transcription availability and the prompt used to summarize calls. Those settings let a firm determine when AI operates and how notes are structured. A named privacy officer handles data complaints, and the security contact accepts vulnerability reports. No separate AI governance program assigns responsibility for model risk, identifies release tests or reports variation in transcription quality across accents, languages or speaker groups.
The controls concern customer operation and privacy administration rather than evaluation of the models themselves. An internal model review schedule and criteria for changing AI providers are unspecified.
AI Safety and Data Stewardship
Retention, deletion, access control, and what happens to prompts and documents after they are processed. Whether the vendor states its subprocessors and its incident practice, or leaves the buyer to assume.
VXT combines encrypted transport and storage with administrator managed roles and federated sign in. Authorized users can delete recorded calls, and the terms commit to notice when unauthorized access or disclosure becomes known. A public register identifies AI, hosting, telephony and other service providers. Account records have no automatic deletion while active; cancellation leaves a 90 day window for viewing and export before workspace removal.
These commitments cover several stages of the data lifecycle. Separate expiry rules for inference provider logs, backup copies and generated prompt histories are not given, and product training assurances conflict with the incorporated privacy policy.
AI Liability and Recourse
What the vendor stands behind contractually when its output is wrong. Indemnities, caps, carve outs, insurance, and whether any of it is published or only reachable through a negotiated agreement.
The agreement disclaims warranties about service results and the accuracy or reliability of information produced through the service. It excludes categories including consequential loss, lost business information, unauthorized access and deletion of customer content, subject to restrictions imposed by applicable law. Customers indemnify VXT for specified claims connected with their use, content and legal compliance. The arrangement does not supply a reciprocal indemnity for an inaccurate transcript or an incorrect generated file note.
No AI performance warranty, stated insurance protection or specific reimbursement for faulty output accompanies the service. Professional review remains the firm's responsibility under the general allocation of risk.
Practice Systems Integration Depth
How deeply the product reaches into the systems legal work already lives in: document management such as iManage and NetDocuments, Word and Outlook, contract lifecycle management, matter management, e-billing, and court filing systems.
Connections to practice systems move conversation records into the matter workflow. The Clio integration synchronizes contacts for caller identification and sends notes, transcripts, SMS and time entries to the relevant matter. Click to call operates from Clio, and suggested matters assist filing. The time tracking feature uses the default billing rate from connected legal software, with changes available before an entry is saved.
MyCase customers describe the same practical connection between calls and client files. Integration setup determines the destination system, while the product retains its own call record separately from whether that record has been saved to a connector.
Deployment Model and Data Residency
Where the software runs and where the data sits. Multi tenant cloud, single tenant, private deployment, on premises, and whether region of residence is a published option or an enterprise conversation.
VXT is a cloud communications service accessed through desktop and mobile applications. Meet captures microphone and system audio locally before the recording is processed into notes and transcripts. The privacy policy names Google Cloud Platform, Amazon Web Services and Microsoft Azure as hosting systems, permits access from New Zealand and does not guarantee a storage location. The current subprocessor register separately identifies Google Cloud infrastructure.
No option binds a selected region to both storage and model inference, and customer operated deployment is not described. Using a local desktop recorder therefore does not mean that transcription and summarization remain on the device.
Security Certifications and Trust Center
Independent attestation a buyer can pull without a sales call: SOC 2, ISO 27001, penetration test summaries, a trust center with current reports and named scope rather than a badge image.
Encryption, role permissions and federated sign in protect access to the service. VXT identifies Carapace Security as the company that most recently performed independent penetration testing in 2025, and provides a channel for reporting vulnerabilities. That testing claim is not accompanied by an accessible assessment report or a defined certification scope. No current SOC 2 report or ISO security certificate is identified.
The named cloud hosts' controls do not establish an examination of VXT's own application and AI workflow. The available security details describe operating measures and a test engagement without supplying an independent attestation a reader can inspect.
Model Supply Chain Disclosure
Which models sit underneath, whose they are, where they run, and whether the vendor commits to telling customers when that changes. A legal buyer inherits every dependency it cannot see.
The subprocessor register identifies AssemblyAI and OpenAI as providers of AI services and Google Cloud Platform for infrastructure. Transcription feeds a large language model with the call text and an administrator selected summary prompt. Product FAQs separately mention OpenAI, Anthropic and Google when explaining restrictions on third party training, without assigning all three to particular features. Model names and versions, the inference country and feature specific retention rules are not mapped to the providers.
A general right to update policies and services does not specify advance customer notification when the model used for a note or draft changes.
Commercial Transparency
Whether a buyer can learn what this costs without entering a sales process: published rates, the unit being charged, what sits behind an enterprise tier, and what implementation adds.
Phone and Meet have separate subscriptions billed per user, with monthly and annual payment choices. The price display supports currency selection, and GBP estimates settle in NZD. Phone has no minimum user count, includes domestic calling and adds charges for phone numbers, international minutes and messages. AI transcripts and summaries are included with either product. Meet includes unlimited recordings and storage with a 15 participant limit.
Onboarding guidance and support accompany the subscription, while a distinct implementation fee is unspecified. The chosen currency, payment interval and communication usage determine the final recurring cost rather than a single universal amount.
Firm and Practice Coverage
Who the product is actually built for. AmLaw, midlaw, small firm and solo, in house departments, government and courts, and which practice areas are supported rather than merely claimed.
Law firms use VXT for client conversations, call routing, file notes and time recording. Named customers include a Texas criminal defense practice, an Australian family law firm and other firms using MyCase and Clio. Dedicated personal injury material describes conversation records and editable billing entries, while Meet extends capture to virtual and in person meetings. Phone supports domestic messaging in the United States, United Kingdom, Australia and Canada; international messages may not arrive.
The company also serves accounting businesses. Those segments and operating limits are identifiable, but supported transcription languages and exclusions for particular legal practices are not fully specified.

Legal Signals
What each signal meansA signal records what public sources say on the date shown. It is not a grade and it is not a recommendation. Where a signal reads Not addressed, it means the index did not locate the material in public sources on that date, which is a statement about disclosure rather than about the product.
Client Data in Training
Can material a lawyer puts into this product be used to train a model?
The published agreement expressly reserves a right to train on customer content, with no opt out located. Any de identification, anonymization or aggregation qualifier is recorded in the summary.
The incorporated privacy policy permits use of personal information to "train and improve the artificial intelligence features" and separately gives the same permission for aggregated information. The terms also authorize use consistent with that policy. Current product FAQs prohibit third party model training, and the personal injury page makes a broader no training assurance for personal client data. Those assurances conflict with the explicit contractual permission. No customer setting that withdraws the training permission is identified in the agreement or product controls.
Prompt and Output Retention
How long does the product keep what a lawyer typed, and can that be set to zero?
Retention is acknowledged in public materials with no stated period.
Call recordings and transcripts have no automatic expiry while the account remains active. Cancellation preserves the workspace for 90 days so users can view and export existing conversations before removal. A user with the Delete records permission can delete a recorded call, and privacy rights include applicable erasure requests. These mechanisms do not specify a configurable prompt retention window or zero retention mode.
Separate deletion timing for provider logs and backups is absent, and the general privacy notice permits retention for legal reporting needs.
Ethical Walls and Matter Segregation
Does retrieval respect the firm’s ethical walls, or can the model read across them?
The product maintains its own permission model, documented, requiring the firm to keep it aligned.
VXT uses its own administrator managed permission system. Assigned phone numbers give their designated users access to the number's call history, messages and settings; administrators can grant feature permissions and control who may delete records. The VXT team cannot change those user permissions on the customer's behalf. Those controls organize access around users and phone numbers rather than inheriting matter restrictions from a separate document system. No description connects a source system ethical wall to the model's handling of an already captured conversation.
Third Party Request and Subpoena Notice
If someone subpoenas the vendor for a firm’s data, does the firm hear about it first?
Terms reserve discretion over whether to notify.
The agreement normally requires notice before compelled disclosure of customer confidential information, but allows VXT to withhold it where the company determines that notice presents specified risks to people, property or the service. Tax disclosures have a separate exception that permits disclosure without notice before or afterward. The privacy policy similarly promises only an effort to notify when possible and appropriate.
These reservations give the company discretion beyond a prohibition imposed by law. No request transparency report accompanies the terms.
Primary Law Corpus Provenance
Where does the law in this product come from, and does the vendor have the right to use it?
No located public material identifies the corpus behind the product’s answers.
VXT generates notes from the firm's own conversations, using recorded audio, its transcription and a configured summarization prompt. The underlying material is a call or meeting rather than a named collection of statutes and judicial decisions. Follow up email drafting also begins with that conversation context. No external legal authority collection, license arrangement or update schedule is identified for these functions. The ability to save a note to a matter does not supply a primary law research source behind the generated text.
Good Law Verification
Does the product tell you when the authority it just cited has been overruled?
No located public material addresses whether authority is checked for subsequent history.
A lawyer can listen to the recording and inspect the full transcript behind a generated summary. Those review surfaces concern what a participant said, not whether a legal proposition mentioned during the call remains authoritative. VXT does not describe integration with a commercial citator or a mechanism for evaluating later judicial treatment. Its file notes and follow up drafts are communications outputs rather than a research service. Authority currency remains outside the stated functionality even when the conversation itself concerns legal issues.
Refusal and Uncertainty Behavior
What does the product do when the answer is not in the corpus?
No located public material addresses what the product does when it cannot ground an answer.
Summaries are generated from a transcript and a team prompt, with the underlying conversation available for review. Administrators can switch transcription off or allow users to initiate it manually. Meet also exposes practical limits, including delayed transcript generation and fixed speaker labels. No confidence indicator, refusal message or documented abstention path explains what happens when speech is unintelligible or a requested conclusion lacks support in the call.
Human access to the recording provides a way to investigate an error without establishing automatic uncertainty behavior.
Fabricated Citation Record
Does a public court record exist addressing fabricated or hallucinated legal citations in output from this product?
No court order, opinion or disciplinary record addressing fabricated or hallucinated legal citations produced by this product has been located as of the date shown. This is a statement about the public record on that one subject, not a finding about the product, and this signal is not a litigation history.
No VXT entry appears in Damien Charlotin's current AI Hallucination Cases database in connection with fabricated legal citations. VXT primarily produces conversation transcripts, summaries, file notes and follow up email drafts. Those outputs can preserve statements made by participants, including statements that require a lawyer's separate verification. The absence of a matching court record is limited to the fabricated citation question as of the stated date. It does not demonstrate that every transcription, speaker attribution or generated summary is correct.
Bar Guidance Alignment
Has the vendor engaged in public with the ethics opinions its buyers are bound by?
No located public material engages with bar or ethics guidance.
Recording guidance covers participant consent, disclosure messages and the firm's responsibility for local legal requirements. It gives practical ways to inform callers, including a spoken introduction and client agreement language. These instructions do not identify a named bar opinion or map VXT's AI functions to professional ethics guidance on confidentiality, competence and fee disclosure. Recording consent and professional reliance on generated notes involve separate duties.
Billing and Fee Posture
Does the vendor address what happens to the bill when the work takes an hour instead of six?
A usable record of AI assisted work exists with no published fee guidance.
VXT creates a matter linked record of the conversation and its duration alongside AI notes. After a call, a lawyer can adjust the time, rate or description before saving the entry to legal software. The default rate can come from the connected practice system, and time capture is also offered for cost analysis where hourly billing is not used. No broader guidance explains disclosure of AI assistance or treatment of time saved on drafting the note. The retained conversation supports the recorded activity without establishing that all captured time is billable.
Outside Counsel Guideline Readiness
Can a firm get this vendor through a client’s AI clause without a bespoke negotiation?
A current subprocessor or model provider list is published.
A public register identifies AssemblyAI and OpenAI for AI services alongside infrastructure, telephony and other suppliers. VXT says those providers enter data protection agreements restricting personal information processing. That list supplies a starting point for a client's AI provider inquiry, but it is not a complete consent package tied to the models used for a particular matter. Product no training assurances and incorporated training permissions also differ. No dedicated client notification template resolves those terms or maps each integration to its downstream processing.
Court Disclosure Support
If a judge’s standing order requires an AI disclosure, can the product produce one?
Some elements of the record are available, short of a document level export.
Recorded audio, a full transcript, the generated note and a matter linked time entry preserve parts of the history behind a conversation summary. The recording can be played or downloaded, and notes can be saved to the legal practice system. These components could help reconstruct what material informed the file note. They do not form a document level export naming the model and the human who verified each assertion. No court specific disclosure certificate or certified verification workflow is offered with the notetaking functions.
